Why Universities Still Struggle With Classroom Utilization (Even With Room Reservations)

  • Recurring reservations hold up prime space every week, even when the actual meeting or event only happens during some of those reserved times.
  • Classrooms sit dark between academic blocks, because reserving them for anything other than a credit-bearing course is difficult (or, in some cases, not allowed).

If you only count reservations, few, if any, of these issues will surface. A room booked at 25% of its capacity for a meeting that could have happened in a much smaller room shows up as well-used. But it actually becomes a classroom utilization issue if the room is needed by others.

Consider a mid-size department that reports being “out of space” every fall. A closer look at its reservation logs may tell you a different story. Suddenly, you spot a cluster of large rooms booked repeatedly for small standing meetings, along with a few seminar rooms held by recurring reservations that rarely actually happen.
